The Office Manager is the go-to person for all the office related issues. This person also helps to achieve organizational efficiency by nurturing a positive, inclusive work environment.
Required Skills:
- Successful office management, administrative (assistant) work experience of at least 2 years
- Confident user of PC and office programs
- Ability to prioritize tasks
- Event management skills
- Organizational skills
- Knowledge of business etiquette
- Negotiation and business correspondence skills
- Ability to resolve conflict situations
- Office life support skills
- Proficiency in English – B2 level (Upper-Intermediate)
Personal qualities – responsibility, stress resistance, sociability, time management, problem solving, flexibility, punctuality, communication, initiative.
Technical skills – Gmail, Google Docs, Google Sheets, Google Meets
Responsibilities:
- coordination of work of office services (cleaner, couriers)
- Managing relationships with suppliers and landlords, ensuring timely billing and payment control
- management of office expenses (daily sweets, stationery, coffee, etc.)
- Work with payment documentation
- purchases, equipment for the office
- interaction with the company’s security service
- maintaining cleanliness and comfort in the office
- inventory of material assets (maintained by GLPI)
- delivery of gifts to different locations
- ordering equipment for new employees to all countries
- congratulations to employees on their birthdays and anniversaries
- Support HR processes (participation in the organization of internal events together with HR)
- Managing internal staff relations
- Welcoming guests
